After You Receive an EIN: Practical Next Steps

The day the EIN arrives is not the day the company is “done.” It is the day you start using one federal identifier consistently and locking down the letter that proves it. People lose CP 575 notices, type a digit wrong on Stripe, and then spend a month explaining why two systems disagree. A short aftercare list prevents that.

Keep the IRS letter, not only the nine digits

The confirmation notice (commonly CP 575) is the document banks ask to see. Save a color PDF, a backup in a second location, and a paper copy if you have a formation folder. Do not crop the letter so hard that the IRS letterhead disappears. Do not store it only in a chat thread with a freelancer who may disappear.

If you never received the paper notice but have the number from a third-party designee, request IRS written confirmation. The 147C letter is the usual name for a faxed confirmation of the EIN. You generally call the IRS EIN line and follow their identity process; hold times and procedures change. A screenshot of someone else’s portal is not a 147C.

If you find a mismatch — name spelling, address, or entity type — call the IRS using numbers published on IRS.gov. Do not “fix” the name by using a different spelling on the bank application and hoping nobody notices.

Use the number the same way everywhere

Copy-paste from the letter. Do not retype. The legal name on the EIN should match the state articles (and the suffix). If you operate under a DBA, you still apply to banks as the legal entity unless you have registered the trade name and the bank accepts it.

Places the EIN will show up:

  • Business bank and fintech applications
  • Payment processor business profiles
  • Payroll and contractor tools if you hire
  • Federal tax and information returns
  • Some state tax registrations (they may also issue their own IDs)
  • W-9 for the entity when a US payer requires it

If a form asks for SSN and you only have an EIN, you are probably in the wrong field or the wrong form. See the comparison in EIN vs SSN vs ITIN.

Banking and processors are still applications

Upload the EIN letter, articles, operating agreement, and IDs as the bank lists them. If they ask for a “voided check” and you have a newly opened fintech account, use whatever they accept as account verification. Name matching matters more than speed. Applying to five processors the same afternoon with five slightly different legal names produces five reviews.

Wait until the site describes a real product. Underwriting looks at the URL. A parked domain with the EIN letter attached is a thin file.

Update the IRS if the company data changes

Responsible party, address, and entity classification can change. The IRS has processes (including Form 8822-B for responsible-party and address changes, and classification elections on other forms when they apply). Using a new mailing address everywhere except the IRS is how refund checks and notices go to a mailbox you closed. Put “IRS address” on your address map next to the registered agent.

Closing or selling the LLC later does not mean you invent a new EIN for fun. Successor rules exist. Get advice before you reuse or abandon numbers.

Tax calendar: the EIN is the header, not the return

Having an EIN does not file your taxes. Foreign-owned disregarded LLCs are often discussed in connection with Form 5472 and a pro forma Form 1120 — educationally, that pairing is an information-return obligation that can apply even when little US income is due. State annual reports are a different calendar. Put both on a reminder system. Details sit in US LLC annual reports and compliance.

If you will have US employees, payroll accounts and deposits are additional registrations. The EIN is necessary but not sufficient.

Access control

The IRS online accounts, state portals, and processor dashboards should not all live in one contractor’s Gmail. Use a company password manager, unique logins, and 2FA. When a formation provider’s designee authorization expires, that is normal; it does not delete your EIN. It means they may no longer discuss that application with the IRS. Keep your own copies of everything they sent you.

A one-week checklist after the letter

  1. File the PDF in two places; print once.
  2. Record the EIN in your password manager’s company vault (not in Slack).
  3. Update the website footer legal name if you had a placeholder.
  4. Start the bank application with matching documents.
  5. Add state annual report and federal information-return reminders for the next cycle.
  6. Tell your home-country accountant the US number exists.
